Add Referral

Overview

This section reviews the business functions that can be performed for the Add Referral business process

Upon completion of this exercise, the user will have knowledge to:

 
Exercise 1:  Search for a duplicate child

The user will test the various methods the data system searches for potential child matches.

Quick Steps

Result / Additional Information

    1.        Enter a child last name and date of birth that matches an existing child in the RAU. The child should be in an active status. Select Search.

System displays the Potential Duplicate matches. 

If the child exists in the current RAU, then the RAU should investigate whether the listed child is the same child based on the Referral in-hand.

The user has the option to add the child as a New Child.

    2.        Enter a child last name and date of birth that matches an existing child in the RAU. The child should be in an inactive status. Select Search.

System displays the Potential Duplicate matches. 

The child should be listed with the ability to Activate the child record.

    3.        Enter a child last name and date of birth that matches an existing child in another RAU. The child should be in an active status. Select Search.

System displays the Potential Duplicate matches. 

If the child exists in a different RAU then the RAU holding the Referral in-hand should investigate whether the listed child is the same child based on the Referral in-hand. If so, contact the RAU the child is associated with and have the RAU transfer the child to your RAU.

The user has the option to add the child as a New Child.

 

 

Exercise 2:  Add Child, Family Members and Referral Source

The user will test the add referral process with the creation of a child, family member(s), and primary referral source records.

    1.        Enter a child last name and date of birth that does not match an existing child in the RAU. Select Search.

System displays the Potential Duplicate matches. 

    2.        Select Add as New Child.

System displays the Child Information Web page.

    3.        Enter the required Child Information. Select Next.

System performs data edits. If no errors are found, then the system displays Family Member 1 Web page. 

If errors are found an error message is displayed and the user must resolve the errors to move forward.

    4.        Enter the required Family Member 1 information. Select Next.

System performs data edits. If no errors are found, then the system displays Family Member 2 Web page. 

If errors are found, an error message is displayed and the user must resolve the errors to move forward.

    5.        Enter Family Member 2 information. Select Next.

Family Member 2 is not required. If the user enters any data then data edits are performed.

If no errors are found, then the system displays Primary Referral Source web page. 

If errors are found, an error message is displayed and the user must resolve the errors to move forward.

    6.        Enter Primary Referral Source information. Select Next.

System performs data edits. If no errors are found then the system displays Confirm Web page. 

If errors are found, an error message is displayed and the user must resolve the errors to move forward.

    7.        Review entered data. Select Save and view Child Summary.

System writes the data to the database. The child is assigned a unique child ID. Family Member 1 is designated as the Primary Contact. 

System displays the Child Summary Web page.

 

 

Exercise 3:  Activate a terminated child

The user will test the reactivation process for a terminated child.

The activation process does not create a new Child ID for the reactivated child. By activating an existing child the system is able to accurately track a child via the unique Child ID. Previous enrollment periods will be accessible via the Child Summary web page. 

The system will copy forward the reactivated child’s detail record, except for the full address and phone numbers, along with any existing child documents.
